Business Systems & Process Improvement · Pattaya, Thailand

Find the friction.
Fix the system.

We help businesses understand how work actually moves between people, departments, data and software, then fix what is slowing it down. Automation, integration, AI and custom software where they make sense. Often the answer is simpler than that.

Where businesses lose time

Most of it is invisible, because everyone has got used to it.

These are common patterns in growing businesses. They are easy to miss because teams gradually adapt to working around them. None of them show up on a profit and loss statement.

  • 01

The same information typed into several systems

Customer details in the CRM, the invoice, the spreadsheet and the LINE group. Four chances to get it wrong.

  • 02

CSV exports that still need a human to interpret

The machine exports the data. Somebody then spends hours making sense of it before anyone can act on it.

  • 03

Reports rebuilt by hand every week or month

Copy, paste, format, send. The same report, assembled from scratch, every single time.

  • 04

Staff copying data between spreadsheets and software

Skilled people doing clerical transfer work because two systems were never connected.

  • 05

Departments that cannot see each other's work

Sales does not know what operations promised. Accounts finds out at month end.

  • 06

Repetitive admin that everyone has learnt to tolerate

Small tasks that take ten minutes, twenty times a day, and never show up as a cost.

  • 07

Approvals that rely on memory or a LINE message

Nobody is sure whether it was approved, who approved it, or where the conversation went.

  • 08

Customer processes controlled entirely by third-party platforms

The marketplace owns the customer, the data and the rules. You get what is left.

  • 09

Useful data that management cannot easily see

The numbers exist somewhere. Getting them into one clear view takes a week and a favour.

How OPEN works

Observe first. Recommend second. Build only when it is worth it.

A structured way of understanding how work actually moves between people, departments, data and software, and what to do about it.

  1. 01

    Observe

    Understand the real workflow

  2. 02

    Map

    See how information moves

  3. 03

    Identify

Find bottlenecks, duplication, delays and risk

  4. 04

    Recommend

Process change, existing software, automation, AI or custom development

  5. 05

    Build

Implement only where it adds value

  6. 06

    Measure

Review whether the change actually improved the workflow

Review options

Start free. Then choose how wide to look.

The Discovery Call is free and short. After that there are two paid options, both scoped to your business, and you own whatever comes out of them.

Option 1

Focused Systems Review

We look at a single area in depth: payroll, order handling, quoting, stock, reporting or whichever process is causing the most trouble. Narrow scope, quick to arrange, and enough to act on.

Scope
One process, workflow or department
Format
Fixed scope, agreed after the Discovery Call
Deliverable
Prioritised findings and recommended next actions
Best for
Best when you already know where the bottleneck is
Price
Scoped after the Discovery Call
  • Time with the people doing the work
  • The process mapped end to end
  • Findings recorded and prioritised
  • Recommended next actions by type

Option 2

Business Systems Review

A wider review of how work and information move across the business: where data starts, who re-enters it, which handoffs cause delay and what management cannot currently see.

Scope
Several departments and the handoffs between them
Format
Broader onsite review, scoped to company size and depth
Deliverable
Systems Opportunity Map
Best for
Best when the losses are spread across the business
Price

Proof

Two systems we built around businesses that already worked.

BRU is an operating hospitality business connected to OPEN, so these are systems we built and then used ourselves rather than independent consulting engagements. One fixed an internal workflow. The other opened a customer channel. Neither replaced anything that was already doing its job.

Business systems

BRU Payroll Hub

Problem
A fingerprint scanner recorded attendance and exported CSVs. Turning those files into checked, accurate payroll was slow manual work.
Built
A software layer around the existing scanner: structured attendance, exception checking, payroll calculations, payslips and management reporting.
Outcome
Payroll now runs from the data the business already had, with the checking built into the system rather than a spreadsheet.

Digital sales & customer systems

BRU Direct

Problem
Third-party delivery apps brought orders but owned the customer, the data and the margin. BRU wanted an additional channel it controlled.
Built
A direct ordering system: menu, cart, customer accounts, PromptPay payment, delivery information, a staff order workflow and fulfilment.
Outcome
BRU now has an owned ordering channel that runs alongside the platforms, with orders flowing straight into the way the kitchen and staff already work.

Areas we can improve

Wherever information changes hands.

A review can cover one department or the whole business. These are the areas where we most often find time being lost.

  • Administration and back office

Data entry, filing, approvals, document handling and the chasing that surrounds them.

  • Sales and customer follow-up

Enquiries that go cold, quotes built by hand and customer details that live in one person's phone.

  • HR, attendance and payroll

Attendance exports, leave, overtime and payslips that still need a spreadsheet and a long evening.

  • Stock, purchasing and operations

Counts that do not match, reorders that rely on memory and suppliers chased over chat.

  • Reporting and management visibility

The weekly numbers assembled by hand, and the questions nobody can answer without a meeting.

  • Online sales and customer channels

Orders, bookings and customer accounts currently controlled by someone else's platform.

What we can build

Software built around your business, not the other way round.

When a review finds something genuinely worth building, we build it: small, focused and owned by you. These are the kinds of systems that come up most.

  • Internal dashboards
  • Staff and attendance systems
  • Payroll tools
  • Reporting systems
  • Customer portals
  • Ordering systems
  • Document workflows
  • Approval flows
  • CSV and spreadsheet processing
  • Data consolidation
  • Integrations between existing tools
Why OPEN

Operating experience, then implementation.

OPEN Business Hub has been building brands, websites and systems for businesses in Thailand since 2006. The consulting work grew out of running our own.

Our approach
  • We run businesses, not just build for them

OPEN operates its own ventures in Pattaya, including BRU, PattayaStaff and Visa-Pattaya. Payroll, staffing, ordering, stock and customer enquiries are problems we deal with ourselves.

  • We understand the process before the software

Reviews start with people and paperwork, not a product demo. The recommendation follows the workflow, and often the answer is a process change or a tool you already have.

  • We can actually build it

When something needs building, the same team that did the review does the work. Internal systems, integrations, ordering channels, websites and the technical layer underneath.

  • You own everything

Systems live in your accounts, on your domain, with your data. No retainer required, no lock-in, and a clean handover if you ever want to take it in-house.

Services

Led by the problem, not the technology.

Eight areas, one way of working. The review comes first, then whatever the business actually needs.

  1. 01

    Business Systems Reviews

Onsite reviews that map how work really moves and recommend the simplest sensible improvement.

Know where the time and money go

  2. 02

    Process Improvement

Better sequences, owners and checkpoints. Often the biggest gains need no new software at all.

    A clearer way of working

  3. 03

    Workflow & Automation

Connect the tools you already use so information moves once and arrives where it is needed.

    Stop copying data between systems

  4. 04

    Systems Integration

Make the systems you already pay for talk to each other properly, in one direction or both.

    One version of the truth

  5. 05

    Custom Business Applications

Focused internal tools such as staff systems, payroll workflows, dashboards and portals.

    Software shaped to your process

  6. 06

    Operational Customer Systems

Ordering, booking, enquiry and account systems, built as part of how the business actually runs.

Own more of the customer journey

  7. 07

    Practical AI Where It Helps

Reading documents, flagging exceptions, drafting and summarising, inside a process people still own.

Remove real work, not add a chatbot

  8. 08

    Ongoing Systems Improvement

Support, monitoring, further automation and follow-up reviews as the business changes.

Keep the gains, then find the next one
