What is a Business Systems Review?

A structured look at how work actually moves through your business: where information starts, who enters it, whether it is entered twice, who checks it, which systems it passes through and what management can and cannot see. It is normally carried out onsite and ends with a Systems Opportunity Map: a prioritised list of findings and recommendations.

What is the difference between a Focused Systems Review and a Business Systems Review?

A Focused Systems Review covers one process, workflow or department, with a fixed scope agreed after the Discovery Call. It suits a specific known bottleneck such as payroll, quoting or order handling, and produces prioritised findings and recommended next actions. A Business Systems Review is broader, usually onsite and often across several departments, mapping how work and information move between them. It produces a full Systems Opportunity Map.

What does the free Discovery Call cover?

Normally up to 30 minutes. We talk through how the business runs, where you think the time goes and what you would like to be different. It is a qualification and understanding conversation, not a free consulting engagement. At the end we say honestly whether a review is worth doing and roughly what it would involve.

How much does a review cost?

Each review is scoped and priced after the Discovery Call, based on the process or departments involved and the depth required. A small office and a multi-site operation are not the same job, so we do not publish a flat rate. Scope and cost are agreed in writing before anything starts.

Who owns the findings and recommendations?

You do. The findings, the maps and the recommendations are yours. You can implement them with OPEN / Consult, with another provider, or with your own team. There is no obligation to continue after the review.

Do I have to buy software or a custom system at the end?

No. Advice comes before software. Many recommendations are process changes, quick wins or better use of software you already pay for. Where automation, integration or a custom application genuinely solves the problem, we will say so and quote it separately.

Do you replace the systems we already have?

Rarely. If a scanner, till, accounting package or spreadsheet works, we keep it and build or connect the missing piece around it. The BRU Payroll Hub example shows this: the existing fingerprint scanner stayed and the software layer around its exports was built.

Which kinds of business is this for?

Any business where information moves between people, departments and systems: hospitality, retail, property, professional services, recruitment, logistics and more. These are common patterns in growing businesses, and they are easy to miss because teams gradually adapt to working around them.

The Systems Opportunity Map

What does the Opportunity Map actually contain?

Each finding records the current process or problem, how often it happens, its impact, the effort to fix it, any risk involved, the recommendation, the recommendation type, a priority and the dependency or next action. That means you can act on it, hand it to someone else, or park it, without needing us to explain it again.

What are the recommendation types?

Quick Win, Process Change, Existing Software, Automation, Integration, AI Opportunity, Custom System, Long Term and Do Nothing. Do Nothing is a real answer: some friction costs less than fixing it would.

Are the example findings on this site from real clients?

No. Any findings, categories or diagrams shown on this site are clearly labelled examples used to explain the format. We do not publish client findings, and we do not publish measured results unless a client has supplied them and agreed to share them.

Do you measure whether the change worked?

Where a client wants it, yes. We go back to the same people and the same process and check that the friction has gone rather than moved. Any figures we publish in future will be measured, not estimated.

Challenge important recommendations

How do you sanity-check bigger recommendations?

For higher-impact strategic or technical questions, we may independently test the same problem across multiple leading AI models, compare where their reasoning agrees and disagrees, and use that comparison to expose assumptions or blind spots. AI output is treated as a second opinion, not the final decision. The recommendation remains a human judgement based on the business, evidence and practical constraints.

Does that mean AI makes the recommendation?

No. It is a quality-assurance step. Models are useful for surfacing options and challenging our reasoning, but they do not know your business, your team or your commercial constraints. A person makes the call and is accountable for it.

Is our information safe when you use AI tools?

We use paid, business-tier AI accounts with data-retention controls, and we do not put client passwords, customer data or confidential material into public AI chats. Where a question needs context, we describe the problem rather than pasting the data.

Where AI fits

Where does AI genuinely help?

Where it removes real work: reading documents, flagging exceptions, drafting and summarising, classifying incoming enquiries, or answering common questions from approved information. It sits inside a process people still own. If AI is not the right answer for a finding, we will not recommend it.

Is AI the product?

No. Automation, integration, AI and custom software are tools we use where they make sense. The product is a business that wastes less time.

Do you use AI in your own delivery?

Yes, for research, drafting, code scaffolding and review, which is part of why focused internal tools can be built in days rather than months. Everything is checked and finished by hand before it reaches you.

Implementation & Ownership

What can you implement yourselves?

Process and workflow changes, automations between existing tools, integrations, focused internal applications such as staff, payroll, reporting and approval systems, and operational customer systems such as ordering, booking and account portals where they are part of a wider fix.

Who owns what you build?

You do. Anything we build is set up in accounts registered to you, including the code, the data and the infrastructure. There is no lock-in and no exit fee. If you want to move it or maintain it elsewhere, you can.

Can we use our own developers for the build?

Yes. The recommendations are written to be handed over. We are happy to brief your team or another provider, and to review the result if you want a second pair of eyes.

How long does implementation take?

It depends on the recommendation. A process change or a setting change can happen the same week. A focused internal tool is usually days to a few weeks, reviewed with the people who will use it before it is finished.

Working with us

Do you work outside Pattaya?

Yes. We work face-to-face across Chonburi, Bangkok and Phuket, and remotely for businesses further afield. Reviews are best done onsite where possible, because the friction is easiest to see where the work happens.

How do you handle confidential information?

Reviews involve staff, pay, customer and supplier information. We work to what you are comfortable sharing, keep anything sensitive out of published material, and redact examples before they are used to explain the format.

Do you provide written proposals?

Yes. Anything beyond the free Discovery Call is confirmed in writing with scope, what is included, timing and cost before it starts.

Can we pay from overseas?

Yes. We hold registered business accounts in GBP, EUR, USD, AUD and SGD, which removes the cost of international transfers, and you can also pay our Thai bank account through low-fee services such as Wise.
